Run a data collection and generate a report

Goal Create a data collection from a template, assign participants and parts, gather responses and view the analysed report.

In Cenedril you run a data collection by opening Reports, creating a new collection from a template, assigning participants and parts, and setting a deadline. The assigned people submit their answers on the Provide your data page, and once the collection is complete the authorised recipients open the analysed report with tables and charts.

Create the data collection

Open Reports

In the sidebar open Reports. The page shows the finished Reports on the left and the Active Data Collections on the right. Use Create New Collection in the top right to start a new collection.

Select a template

In the Select a template step, filter the templates with Filter by area: (for example cybersecurity, data privacy or organization) and pick a card. The information icon on a card shows the included parts and questions in advance.

Set participants and recipients

In the Select participants step, search for people and give each person two roles: Provides Data for answering and Can View Report for access to the later report. To analyse the answers anonymously, turn on the Anonymous data collection toggle.

Assign parts

In the Collection Type step choose between Individual Entry and Collaborative Entry. Then assign each person their parts under Assign Parts. For individual entry you give the Assignee role per part; for collaborative entry the Editor and Submitter roles. With Make everyone a respondent for all parts you quickly assign all parts to all participants.

Set deadline and repetition

In the Deadline step choose No Deadline or Set Deadline with a date. With a deadline set, you optionally pick Reminders (one month, one week or 24 hours before). Use Repeat this data collection to set up a recurring run and choose the reference period under Select concerned period.

Review the summary and save

The final step shows the Collection Summary with template, collection type, people and schedule. Check the details and click Save & Close. The collection then appears under Active Data Collections.

Gather responses

Provide data

The assigned people find their collection under Active Data Collections and open it via Provide your data. They answer their parts, save a draft if needed, and submit the part with Submit. A confirmation prompt notes that submitted data can no longer be changed.

Track progress

In the Active Data Collections list a progress bar shows the share of submitted answers. Under Sources you see the status per person or part (for example pending, responded or finished). At 100 % the collection counts as completed.

View the report

Open the report

Once the collection is complete, recipients open the report in the Reports column via See Report. The report summarises the answers in an Integrated Analysis and a Segmented Analysis with tables and charts. When comparable earlier collections exist, you can pull them in for comparison.

Result: the data collection sits completed in the list, the answers from all assigned people have arrived, and the authorised recipients see the analysis as a finished report.

Frequently asked questions

What is the difference between individual and collaborative entry?

With individual entry, each assigned person answers their parts on their own. With collaborative entry, several people work on a part together: people with “Can edit” enter answers and a person with “Can submit” closes the part.

Can responses stay anonymous?

Yes. In the “Select participants” step, turn on the “Anonymous data collection” toggle. Responses are then analysed anonymously. In an anonymous collection every participant automatically receives all parts.

When does the report appear?

Once a data collection reaches 100 % progress it counts as completed. Authorised report recipients open the analysis via “See Report” in the list of reports.

Who can view the report later?

Only people you marked with “Can View Report” in the participants step. A person can both provide data and view the report when both toggles are set.

Can I cancel a running data collection?

Yes. In the “Active Data Collections” list, the collections you created show a “Cancel data collection” button. It deletes all responses already provided.
