Create a custom workflow

Goal Build a custom workflow in the workflow editor with fields, states, transitions, roles and permissions, and approve it so tickets can be created.

In Cenedril you build a custom workflow in the workflow editor: open Process Administration, create a draft with New Workflow, and fill in the tabs Basics, Form fields, Workflow states, Transitions, Roles and Permissions in turn. After Save you approve the version, and the workflow is then ready for new tickets.

Create the workflow

Open Process Administration

In the sidebar open Tasks & Workflows and select Process Administration. The page lists every existing workflow with its version status.

Start a new workflow

Click New Workflow. The workflow editor opens with the title New Workflow and the tabs Basics, Form fields, Workflow states, Transitions, Roles and Permissions.

Enter the basics

On the Basics tab, enter the workflow’s Name (for example “IT change request”). The Description is optional and explains the purpose of the flow to your team.

Define fields and states

Add form fields

Switch to Form fields and click Add field. Give it a label, pick a suitable field type and, where needed, mark the field as required. The person working a ticket fills in these fields later, and you can use them in transition conditions.

Add workflow states

Open Workflow states and use Add state to create the stations of the flow (for example “Draft”, “Review”, “Done”). Mark one state as the initial state where a new ticket starts, and at least one as a final state that marks the ticket as complete. Reorder the states with drag and drop.

Set transitions and access

Configure transitions

On the Transitions tab you see each state with its incoming and outgoing transitions. Click Configure on a state and choose the transition type: Simple transition always leads to one fixed target state, while Multiple transition options offer several targets that you can optionally gate with conditions.

Create roles

Switch to Roles and use Add role to create the roles involved (for example “IT team” or “Data protection officer”). Assign the responsible Cenedril team members to each role.

Grant permissions

On the Permissions tab you define per state which role may read fields, edit fields and execute the transition. Under Who can create tickets? you decide whether everyone or only certain roles may open a ticket in this workflow.

Save

Click Save at the top right. Cenedril checks that a name and at least one state are present, then returns to Process Administration. The new workflow appears there as a draft.

Approve

Approve the version

In Process Administration, open the workflow’s version management and approve the current version. Only an approved version is used for new tickets.

Result: the workflow appears in Process Administration with its approved version, and authorised people can select it under + New ticket and move a ticket through the states you defined.

Frequently asked questions

Which field types does the editor offer?

On the “Form fields” tab you can choose Text (single line), Text (multi-line), Number, Date, Date & Time, Yes/No (Checkbox), Selection (Dropdown), Multi-select and Link / URL, among others. There are also link fields: Asset Link, Person Selector, Document Link, Record Link, Vulnerability Link, Incident Link, Ticket Link and Control Link (ISO 27001 Annex A).

What is the difference between a simple transition and multiple transition options?

A “Simple transition” always moves the ticket from one state to exactly one target state. “Multiple transition options” give the person several possible targets, which you can optionally gate with conditions, for example based on the value of a field.

Why can't the workflow be used for tickets right after saving?

A newly saved workflow is a draft first. It only appears under “+ New ticket” once its current version has been approved. You approve the version in Process Administration via the workflow's version management.

Who can create tickets in this workflow later?

You define this on the “Permissions” tab under “Who can create tickets?”. You either allow everyone or restrict it to specific roles. The same setting controls who sees the workflow in the “+ New ticket” list.

Can I reorder fields and states?

Yes. On the “Form fields” tab and the “Workflow states” tab you reorder entries with drag and drop. The order determines how the form is shown and how the states are listed in the workflow.
